Every four months, in January and May, students complete their levels and receive certificates. Coordinators are responsible for preparing the lists that the headquarters uses to issue the certificates for the students.

Exporting a group to a spreadsheet
Teachers need a list of students in order to assign ranks. They can either copy the list manually from the group or download it all at once.
Above each group, there is a button called Export as CSV, which allows you to download the group as a spreadsheet.
Teachers assign ranks twice
Ranks are assigned twice during the term: once around lessons 5–7 and again during lesson 12. These are two separate evaluations of the student at different stages of the course and reflect the student’s progress over time. A detailed explanation of what the rank represents can be found in this lesson.
Each student receives a certificate for every level
Students receive two ranks, one for each level they complete, which means they will also receive two certificates that need to be printed. You will receive one large PDF file containing certificates protected by serial numbers from our database. These certificates should be printed on A4 white paper, 160 gsm or thicker, and sorted by groups. We also recommend using clear plastic sheet protectors to hold the two certificates for each student.
Spreadsheet column format
The required columns are:
name, date, email, city, group name, version, course name, teacher1, rank
name – the student’s full name as it will appear on the certificate
date – the completion date of the level in the module, using a format such as “24 February 2020”. Set the column format to text in Excel so that the values are not automatically reformatted.
email – the parent’s email address. Parents will receive an email notification when the certificate is issued and will be able to share it on social media.
city – the city where the academy is located.
group name – the group the student attended.
course name – helps select the correct certificate template. Multiple groups may complete the same course.
version – used to select the correct certificate template. See the next section in this article.
teacher1 – the teacher’s first and last name. Do not remove the “1” from the column name. A teacher2 column may also be included if two teachers taught the students equally or simultaneously.
rank – a number from 4 to 8.
Filling in the version column
Versions are codes that define the text content of the certificate. The codes use Latin letters, so pay special attention to the letter A.

The final organizational recommendation when preparing certificate data is to split your main spreadsheet into several smaller spreadsheets with up to 30–40 rows each.
Divide your certificates into up to four files. Two files—one for Saturday and one for Sunday—are a good starting point.
